Condominium insurance: organise confirmations before the meeting

A meeting can spend a long time searching for a document nobody can identify. Before discussing building insurance, prepare a small index: what confirmation exists, which part of the building it concerns and what still needs clarification. Organisation does not replace a policy assessment, but it helps you ask the right question.

THE ESSENTIALS

Before you start

  • Distinguish an insurance reference from confirmation of its scope.
  • Separate questions about units and common parts.
  • Keep residents' documents and details in the appropriate channel.

Start with the obligation without expanding its meaning

Civil Code Article 1429 provides for fire insurance for buildings under Portugal’s horizontal property regime, covering individual units and common parts. That obligation does not, by itself, describe every cover in a multi-risk policy.

Your preparation should therefore distinguish what you want confirmed: the existence of insurance and its actual scope. Do not conclude that any damage is covered because someone said 'the building is insured'.

Make an index, not an indiscriminate shared folder

Organise references by document, period and question. You can note who should confirm each item without copying personal details into a public group or comments.

If information is missing, mark it 'to be confirmed'. Do not fill the gap with an insurer's name remembered from another discussion or a policy for another period.

A useful index entry might read: “document received; period to confirm; identification of common parts to clarify; administrator requests the intermediary’s explanation”. Separate columns prevent receipt of a file from being confused with verification of its scope.

An example for the agenda

Fictional example: Inês brings a page with two questions: 'Which documents do we have about the common parts?' and 'What confirmation is missing regarding the units?' Rui adds a column showing who will follow up each question.

The page does not determine liability or replace reviewing documents. It helps prevent three people looking for the same item while another is forgotten.

Separate the document from the conclusion

When a policy is found, confirm its reference and the period being examined. Ask for an explanation of what identifies the relevant scope, terms and limits for your question.

Minutes, an email reference and a policy are items to organise. They should not each be treated as individually confirming cover for a particular incident.

Leave the meeting with clear tasks

Record the question, who will clarify it and what reply is missing. Keep the final index for the next discussion. Avoid treating a task assigned to someone as already resolved.

KEEP THESE QUESTIONS

Your checklist for the next conversation

  • Distinguish units and common parts in questions.
  • Identify documents and periods.
  • Mark what still needs confirmation.
  • Ask for an explanation of scope and terms.
  • Assign each clarification to someone.
  • Protect documents and personal details.
