A company car accident: who brings the information together?

After a company vehicle accident, the driver knows what happened while the office may hold the insurance documents. A named coordinator can connect these two parts. Attend to safety and any necessary assistance first; then organise the information without replacing the account given by the person who was there.

THE ESSENTIALS

Before you start

  • Name a person to follow the case.
  • Preserve the driver's account.
  • Keep documents under one reference.

Use the report form as a structure

The APS guide to the DAAA accident report separates information such as date, location, people involved, insurer, initial impact, visible damage, circumstances and a sketch. This structure helps identify missing information. Completing a report is different from deciding responsibility or confirming that a repair has been authorised.

Make the handover traceable

Fictional example: Joana drives a company van and reports an accident to Pedro, who manages the insurance records. Pedro finds the policy details and files the report without changing Joana's account. In a separate note, he lists unanswered questions and who may be able to clarify them. When an insurer's request arrives, both can identify the occurrence concerned. The original account remains distinguishable from later clarifications instead of being rewritten into a single informal version that obscures who provided each detail.

Avoid three conversations about the same request

Choose a contact to follow the case and retain the reference in later communications. Organise documents by date and source. A photograph shared in an internal group should not be treated as delivered to the insurer without confirmation through the appropriate channel. Record when an answer arrives and the action it requests. If two departments hold conflicting information, check with the person who created it. Do not complete a declaration using guesses simply to close the task sooner or make an internal tracking sheet look complete.

Prepare the routine before an incident

Read the motor insurance guide and ask RMACHADO GROUP for help organising contacts and documents for company vehicles. A straightforward routine supports clearer follow-up when an incident occurs.

KEEP THESE QUESTIONS

Your checklist for the next conversation
