Check the request and version
Read the latest request and identify the document, date and purpose. When two versions exist, do not choose solely because a filename says final. Open the intended copy and compare its reference with the request.
Fictional example: Rui finds proposal-final and proposal-final-new. Inês checks their dates and discovers that the second file concerns a different request. They identify the correct version before sharing any attachment.
Verify the recipient and channel
Check the complete address or channel against a known reference, particularly where a message requests an unexpected change. A familiar display name does not verify the full destination. Avoid forwarding an entire internal chain to answer one specific question.
Ask which pages or elements are actually needed. If a copy with hidden information is requested, follow an appropriate process, preserve the original and verify that the redaction is effective. A rectangle drawn over text should not be assumed sufficient.
Record what actually happened
Keep the version reference and confirmed dispatch without unnecessarily copying personal documents into administrative lists. Preparing a draft does not establish that the recipient received the document.
If information appears inaccurate, seek guidance on correcting it; Portugal’s CNPD explains rectification rights. Do not modify an issued document to match your interpretation.
