THE ESSENTIALS
Before you start
- Identify every version.
- Link questions and replies.
- Verify changes in the document.
Create a version index
Identify each document’s reference, date and related request. Use clear names for working copies while preserving the originals received. Do not silently replace an old version with a new one in the same file.
Fictional example: Inês requested clarification of a cover. Rui receives a quotation with a new date and assumes the issue is resolved. Comparing versions, they discover that the date changed but their question still has no identified answer.
Compare specific changes
Use columns for the question sent, reply received and point to verify in the document. If a reply does not correspond to a document change, flag the difference and request clarification. Do not fill the gap with an intention that was never confirmed.
Also check that figures, periods and names concern the same circumstances. A quotation based on different information is not merely a stylistic revision. Avoid deciding by attachment name or colour.
Separate review, choice and contract
Article 37 states that the policy includes the agreed content, including applicable general, special and individual terms. Compare the clarification received with the documents identifying the agreed terms.
A new quotation should not be recorded as an accepted policy amendment. Keep the specific choice and request confirmation of the applicable steps and terms before relying on a change of cover.
History makes decisions understandable; it does not create an automatic renewal or replacement. Retain only what is needed in the appropriate channel and keep personal documents out of comments. Visit the relevant branch on rmachado.group to prepare an updated assessment, taking unresolved questions to the discussion.
