Practical guide · Equipment away from the office

The company laptop stays at an employee's home: is the office contents sum enough?

A company supplies a computer for home working. It remains in the inventory but no longer stays at the office address. Before relying on the overall contents sum, establish how the proposal treats use and custody elsewhere, including journeys between home and work.

THE ESSENTIALS

Before you start

  • Inventory inclusion does not establish every location and risk.
  • Describe use, transport and storage as separate phases.
  • Computer assessment does not replace questions about data, business interruption or work accidents.

One specific example of off-site protection

Fidelidade's September 2026 Multirriscos Empresas CE30 addresses material damage to laptops and tablets away from the risk location in Portugal under the benefits actually contracted, with particular transport and theft conditions. This does not confirm every home-storage scenario or turn the general contents sum into universal cover.

Map the equipment's entire journey

Create a line for leaving the office, travel, home use and storage while unused. State whether arrangements are regular or occasional and include customer visits and foreign travel. Merely describing home working can omit routines relevant to a proposal.

Fictional example: a company permits two days at home, while the laptop also accompanies customer visits. The manager includes both uses in the enquiry and identifies questions about overnight storage. Internal company permission is not presented as insurer confirmation.

Separate the insurance inventory from the handover record

The inventory identifies equipment, ownership and value on the requested basis. The handover record states the user and dates. Keep identifiers and addresses in the appropriate channel rather than posting employee lists or serial numbers for social-media advice.

Request an answer locating the equipment and scenarios actually assessed. Describe employee-owned items and additional accessories separately. Inclusion of one laptop does not settle the position of another asset never described.

Compare property protection with other needs

Ask about repairs, replacement, limits, deductibles and storage circumstances. Treat data recovery and interruption as separate questions; a hardware answer does not confirm those costs. The same distinction applies to injury suffered by the worker.

For a RMACHADO business-property quote, provide the actual equipment journey and use. Retain the response and proposal version assessed. An enquiry confirms neither acceptance nor the outcome of a particular damage claim.

KEEP THESE QUESTIONS

Your checklist for the next conversation

  • Map locations, journeys and storage periods.
  • Record equipment, user and ownership appropriately.
  • Locate off-site cover and its limits and conditions.
  • Separate hardware, data, interruption and worker protection.
