Machinery Casco: which maintenance records should you be able to provide?

A machine has been serviced, but invoices are scattered and nobody can connect them with its operating hours. An organised history helps explain equipment condition and completed work. Its value goes beyond finding paperwork after an event; it neither replaces actual maintenance nor establishes insurance cover on its own.

THE ESSENTIALS

Before you start

  • Records complement actual maintenance.
  • Connect each intervention to the correct equipment and date.
  • An invoice does not automatically establish damage cause or cover.

One contract connects insurance with upkeep

Ageas/Millennium GC0481-PT, with March 2022 text and an October 2025 revised reference, sets upkeep and technical-instruction duties in article 24. Article 5 excludes damage resulting from missing or inadequate maintenance. This is a contract example, neither a universal servicing timetable nor an automatic decision on every breakdown.

Build a record that follows the machine

As an organisational method, link equipment identity to available usage records, completed interventions, dates and the service provider. Attach relevant invoices and reports, distinguishing scheduled servicing, repairs and recommendations still awaiting action.

Fictional example: a business has two identical-model machines. An invoice gives only the model, leaving the serviced machine uncertain. The manager requests documentary clarification from the provider and keeps the reply; the servicing is not assigned to whichever machine is more convenient.

Make gaps and pending recommendations visible

Check that the history connects the work to the correct machine and usage period. Mark unavailable hour readings or missing evidence as gaps. An honestly incomplete record differs from a table filled with invented dates.

Maintenance needs and intervals should follow competent technical references for the actual equipment and use. This guide supplies no service intervals, repair instructions or permission to operate faulty equipment. Obtain technical assessment when required and retain the instructions received.

Use the history in an insurance review

Before a Máquinas Casco quotation, prepare the inventory, use and available history for RMACHADO, flagging unresolved questions. Detailed data should use the appropriate channel. Following damage, preserve relevant evidence and follow the current policy's procedure; an organised file does not establish that every cause is insured.

KEEP THESE QUESTIONS

Your checklist for the next conversation

  • Identify individual machines despite identical models.
  • Connect dates, use and interventions.
  • Keep relevant invoices and reports.
  • Mark gaps and pending recommendations.
  • Separate documentation from technical assessment.
