THE ESSENTIALS
Before you start
- An existing file may still be outdated or inaccessible.
- Separate assistance from administrative contacts.
- Rehearse document access before departure.
Create a short, purposeful folder
Keep accessible copies of the applicable records and identify their version dates. Use names explaining their purpose: assistance contact, policy identification and travel conditions. Avoid relying on a long message chain.
The EHIC concerns access to the public system, not a general authorisation for private services. Keep the card separate from the instructions for any travel insurance policy.

A rehearsal that uncovers missing information
Fictional example: Nuno switches off mobile data before packing. He can open the proposal, but discovers he saved only a link to the final document. He records the difference and requests the applicable document before departure.
He then searches for the assistance contact and finds a sales number. Rather than assuming it serves the same purpose, he consults the contract to establish how support is accessed during the trip.
Label the function of each contact
Write down what each contact is for, where it appears in the documentation and any usage instructions. A number copied from an old social post should not be treated as the contact for a current contract.
If travelling with someone else, agree how the folder can be located without unnecessarily disclosing another person’s information. Do not share passwords or publish documents. Use appropriate channels and only the information needed for the situation.
Check again when the journey changes
A new stop, different dates or another travel purpose can mean the documentation needs checking. Record the question and request confirmation; do not amend a certificate yourself.
Use rmachado.group to prepare a new Travel quotation request. For an event during the journey, follow the contractual assistance channel and appropriate local emergency services when needed. A quotation request is not a substitute for either.
KEEP THESE QUESTIONS
Your checklist for the next conversation
- Keep the final document version available.
- Separate sales and assistance contacts.
- Rehearse offline access.
- Review records if the itinerary changes.
FROM THE ARTICLE TO YOUR SITUATION
Let us discuss your situation
Tell us what you want to protect. We review your request and help compare relevant terms. Requesting a quotation does not activate insurance.
