Damaged business records: when should reconstruction expenses be evidenced?

Henrique Vasconcelos reviews how his business would recover damaged records. In this fictional story, he receives a reproduction estimate and plans to keep everything until the end. Clara Mota asks him to locate the provisions on evidenced expenses and settlement timing first.

THE ESSENTIALS

Before you start

  • Separate estimates, completed services and evidenced expenses.
  • Identify the records and why reproduction is needed.
  • Check the period and procedure in the actual benefit.

An estimate and an incurred expense are different evidence

As an organisational method, separate the initial estimate, work actually completed and evidence of expenses. Link each service to the records requiring reconstruction. Proposed future work should not be labelled an expense already incurred.

Henrique lists each document group: what was damaged, which copies exist, what reproduction is needed and who can perform it. Clara suggests recording the need before collecting invoices. The list should describe records without disclosing confidential contents in comments or a general contact form.

Read the settlement provision in the actual benefit

Generali 541.031 (October 2024) Document Reconstruction considers actual expenditure and necessary reproduction; settlement follows evidence, without exceeding six months from the loss. Documents needed for rebuilding under compulsory fire insurance fall outside this special condition. This is not a general insurance deadline.

Check the version and whether the benefit was purchased before applying this example. If the wording raises questions about submitting, performing or evidencing work, request written instructions immediately. Do not infer a statutory limitation period from one sentence or permission to delay reporting.

Make a timeline with separate stages

Fictional example: Henrique receives an estimate, has one part of the records reproduced and later receives a proposal for a second part. Clara puts those stages on separate lines with their supporting evidence. The latest estimate date is not treated as restarting the period mentioned in the policy.

This timeline is a preparation tool, not approval of work or a binding insurer timetable. Ask how evidence is submitted and assessed and identify outstanding information. If a document cannot be reproduced, record that fact and request guidance; do not invent a copy or expense.

Records recovery differs from other requests

Keep reproduction costs, IT costs and any client complaint separate. This guide concerns organising the business's own expenses and the period in an identified benefit. It determines neither liability for third-party documents nor general Cyber incident cover merely because electronic media are mentioned.

For an existing event, use policy support and the indicated confidential channel. To compare future protection, select Business Property under Request a quote on the site. A new proposal does not restore an earlier deadline. Henrique finishes with four tasks to check the documents with Clara.
