THE ESSENTIALS
Before you start
- Gather diagnosis, supply records, maintenance terms and policy.
- Technical insurance covers have their own exclusions.
- An explanation should identify the cause and relevant provision.
An exclusion can concern who is responsible
These technical terms exclude damage for which manufacturers or suppliers are responsible and maintenance expenses.
Check the condition actually contracted.
Build the file before choosing an explanation
Our filing method gathers equipment identification and serial number, supply evidence, installation record, warranty terms, maintenance agreement, earlier interventions and policy. Include any diagnosis and its author.
Keep the observed problem date separate from a still-unknown technical cause. 'It stopped working' is an observation; it proves neither wear, a manufacturing defect nor an insured event. Request technical clarification without replacing the report's conclusion with an assumption.
An example with two outstanding explanations
Fictional example: a business reports a machine stoppage to its supplier and receives a repair estimate. The supplier has not explained whether it accepts the intervention, and the diagnosis does not identify the cause. The business keeps the estimate and requests both explanations.
It also identifies the insurer's reporting procedure and any need to involve the lessor. Merely renaming a 'warranty matter' as an 'insurance claim' does not settle it. Nor should planned maintenance be presented as repair caused by a sudden event.
Request an explanation you can check
For each party, record the question, documents, reasons for its position and next step. A useful explanation connects the proposed work, established cause and provision invoked. Ask for missing evidence to be identified.
Technical decisions on operation and repair belong with competent professionals. Keep instructions and confirm the procedure before authorising work where circumstances allow.
Prepare future protection through review
For an RMACHADO leased-equipment quote, describe the asset, use and existing warranties or services. This helps frame the intended cover without assuming equivalent contracts. Identify an existing breakdown as such: future protection and handling that occurrence require their own documentation.
KEEP THESE QUESTIONS
Your checklist for the next conversation
- Keep diagnosis and equipment identification.
- Gather supply, maintenance and insurance terms.
- Separate observations from unconfirmed causes.
- Record each party's reasons and next steps.
